Payroll

Payroll mistakes are expensive and personal: late deposits carry some of the steepest penalties in the tax code, and employees notice immediately when something is wrong. We handle it so you don't have to think about it.

Payroll Setup

Everything in place before the first paycheck: registrations, software, worker classification, and pay schedules.

Who it's forBusinesses hiring their first employee, S corporation owners who need to put themselves on payroll, and companies switching payroll providers.

We register the business with the IRS and the State of Florida for employment taxes, set up the payroll platform, configure pay schedules, earnings, deductions, and benefits, and make sure each worker is classified correctly as an employee or contractor. For S corporation owners we set the salary and the deposit schedule to keep the IRS satisfied and the taxes predictable.

Setup includes onboarding forms (W-4, I-9, new hire reporting) and a short walkthrough so running payroll takes minutes.

What's included
  • Federal and Florida employer registrations
  • Payroll platform selection and configuration
  • Pay schedules, earnings, and deductions
  • Employee vs. contractor classification review
  • Owner salary setup for S corporations
  • New hire paperwork and reporting
Which payroll software do you use?We work with the major platforms, including QuickBooks Payroll and Gusto, and recommend one based on your size, benefits, and whether you need time tracking or contractor payments.

State Employer Account Registration

The state accounts every employer needs, opened correctly and kept in good standing.

Who it's forNew employers in Florida, businesses hiring remote employees in other states, and companies whose accounts were never properly set up.

Florida employers need a reemployment tax account with the Department of Revenue, and employers with workers in other states typically need withholding and unemployment accounts there as well. We complete the registrations, obtain the account numbers and rates, and connect them to your payroll system so filings and deposits go to the right place.

When you hire someone in a new state, we handle that state's registration before their first paycheck.

What's included
  • Florida reemployment tax registration
  • Out-of-state withholding and unemployment accounts
  • Rate notices and account maintenance
  • Payroll system connection
  • Workers' compensation coordination
  • Account closure when you stop employing in a state
We hired someone who works from another state. Does that matter?Yes. Their state generally requires withholding and unemployment accounts, and sometimes a business registration, even for a single employee.

Payroll Processing

Payroll run accurately every period, taxes deposited on time, and every quarterly and annual filing handled.

Who it's forAny employer who would rather not run payroll themselves, and owners who want their payroll and their books handled by the same firm.

Each pay period we process payroll from your hours and changes, review it before it goes out, and make sure tax deposits are made on schedule. Quarterly and annual filings (941, 940, RT-6, W-2s, 1099s) are prepared and filed, and payroll is recorded in your books correctly so the year-end tie-out is clean.

When a payroll notice arrives, we respond to it.

What's included
  • Scheduled payroll runs with pre-submission review
  • Federal and state tax deposits
  • Forms 941, 940, and Florida RT-6
  • W-2 and 1099 preparation and filing
  • Garnishments, benefits, and retirement contributions
  • Payroll notice response
Can you fix payroll that was done wrong this year?Yes. Prior-period corrections and amended filings (941-X) are a regular part of taking over a payroll.
